Description

POSITION TITLE: Secretary/Receptionist (Part-Time)

REPORTS TO: Manager of Office Operations

JOB OBJECTIVES: The Secretary/Receptionist assumes primary responsibility for front desk coverage and for seeing to the orderly operation of the office during business hours, depending on assigned days as a part of the job-share position. This is a part time Monday thru Friday position with weekends off.

Requirements

ESSENTIAL FUNCTIONS:

· Greets clients and processes fee payments

· Answers telephone calls providing agency information or basic referral information, or directing calls to staff, as appropriate

· Processes agency requests for service entering data into electronic medical records system

· Receives, logs and prepares for the deposit of daily receipts, including client fees, donor contributions and grant payments

· Assists with scanning, filing and agency mailings as time permits

· Performs the agency's opening or closing procedure based on scheduled shift

· Keeps the Manager of Office Operations informed of any problems or concerns that may have arisen during shift

· Attends administrative clerical meetings

· Assists with other special projects as assigned

EDUCATION/SKILLS/EXPERTISE:

· Minimum of high school diploma or equivalency

· A minimum of three years general office experience

· Familiarity with multiple extension, multi-function, office telephone systems

· Excellent communication and interpersonal skills

· Basic PC literacy including data base management and Microsoft Office (Excel, Word, Access, etc)

· Excellent organizational skills

· Sensitivity to and respect for cultural differences

· Pleasant, courteous, patient, self-directed, and conscientious

ADDITIONAL REQUIREMENTS RELATED TO WORKING CONDITIONS:

· The employee in this position must have his/her own transportation as a portion of the work may occur at other agencies and in clients' homes

· A minimal amount of carrying audio-visual equipment and educational materials/supplies may be required
